Privacy policy
How Eurovertis processes personal data and documents submitted for translation. This policy applies to eurovertis.lt and to requests sent to us by email.
Controller
The controller of your personal data is MB Eurovertis, Marvelės g. 108, B21, LT-46204 Kaunas, Lithuania. Questions about this policy can be sent to info@eurovertis.lt or by post to that address.
What data we process and why
- Contact and company details (name, email address, phone number, company name) that you provide when requesting a quote or placing an order. Purpose: to prepare a quote, perform the contract and communicate with you. Legal basis: performance of a contract or steps taken at your request before entering into one (GDPR Article 6(1)(b)).
- Documents and files submitted for translation, which may contain personal data of you or third parties. Purpose: to provide the translation service you requested. Legal basis: performance of a contract (Article 6(1)(b)) and, for data of third parties contained in the documents, our legitimate interest in providing the service you have instructed (Article 6(1)(f)). Where documents contain special categories of data (for example medical records), we process them only on your instruction and to the extent necessary for the translation.
- Billing data required for invoicing and accounting. Legal basis: legal obligation (Article 6(1)(c)).
- Quote-form submissions. Files sent through the request form are checked for type and size, stored on our server in a folder that is not accessible from the internet, scanned for malware where a scanner is available, and forwarded to our project managers by email. They are deleted according to the retention periods below.
- Website usage data. This website does not set analytics or advertising cookies. Our hosting provider may keep standard server logs (IP address, time of access, requested page) for security purposes on the basis of legitimate interest (Article 6(1)(f)). Fonts are loaded from Google Fonts, which may process your IP address; see Google's privacy policy.
Who has access
Your documents are shared only with the translators, editors and project managers assigned to your project, each of whom is bound by a confidentiality agreement. Where a notary, apostille authority or courier is involved at your request, the documents are passed to them for that purpose only. We use service providers (hosting, email, translation tools) under data-processing agreements. Your documents are not used to train public artificial-intelligence or machine-translation systems.
International transfers
Data is processed within the European Union. Where a translator for a specific language is located outside the EU, transfers are made under the European Commission's standard contractual clauses or another safeguard recognised by the GDPR.
Retention
Quote requests that do not lead to an order are deleted within six months. Translated files and source documents are retained for twelve months after delivery to allow revisions and reuse of your translation memory, unless you instruct us to delete them earlier or agree a different period in a framework agreement. Invoicing data is kept for the period required by Lithuanian accounting law.
Your rights
You have the right to access, rectify and erase your personal data, to restrict or object to its processing, to data portability, and to lodge a complaint with a supervisory authority (in Lithuania, the State Data Protection Inspectorate, vdai.lrv.lt). To exercise these rights, email info@eurovertis.lt.
Changes
We may update this policy when our services or the law change. The current version is always published on this page.
